2017 Sponsorship Information Guidelines - Please read the sponsor terms below, complete the form and click the field that you agree to the terms

 

1.  Eligibility

RDC reserves the right to determine the eligibility of any company or product for inclusion as a Sponsor.

 

2. Nature of Relationship

Acceptance by RDC of a Sponsor shall neither entitle the Sponsor to an exclusive sponsorship agreement with respect to any service or product offered by Sponsor, nor constitute an endorsement of any service or product offered by Sponsor.

 

3. Payment Policy

All Sponsorships must be paid in full 60 day before the scheduled event.  Failure to make payment will be considered a cancellation and shall entitle RDC to resell the sponsorship in any manner deemed appropriate by RDC.   

 

4. Cancellations/Refunds

Cancellations must be made in writing (e-mail accepted).  Cancellations are effective as of the date of receipt. Any Sponsor cancelling on or before 45 days before the schedule event will receive a full refund.  Any Sponsor cancelling after that date forfeits the sponsorship (no exceptions).  Sponsors are considered “no show” if they do not occupy the exhibit table in the designated space at the event and have not given RDC the required written notice of cancellation.  RDC has the right to use “no show’ table space in such manner deemed appropriate.  Failure to occupy exhibit table does not relieve the Sponsor from their obligation to pay the full sponsorship fee.

 

5. Exhibit Assignment

A Sponsor understands and agrees that RDC has sole discretion on the assignment of exhibit table location and is under no obligation to assign Sponsor any of the tables preferred by the Sponsor. RDC reserves the right to alter Sponsor’s assigned location any time at its sole discretion if deemed in the best interests of the exhibit space.

 

6. Location of Exhibit Tables

Exhibit tables may be located within the general session meeting room or adjacent to the general session room.   RDC will comply with the hotel fire codes and safety requirements. 

 

7. Subletting Space

No Sponsor shall assign, sublet, or apportion the whole or any part of the space allotted, or exhibit table therein, any other goods, apparatus, etc. than those manufactured or sold by the Sponsor in the regular course of business. Sub-divisions and subsidiary organizations that share space with a parent company will not be recognized as Sponsors.

 

8.  Conduct of Sponsors

No Sponsor shall conduct any business that requires exchange of money or writing of contracts during the framework of the conference. 

 

9. Indemnification and Waiver

Exhibitor agrees to indemnify, hold harmless, and defend RDC and their respective members, officers, directors, agents, and employees (‘indemnities’) from and against any and all liabilities, damages, actions, losses, claims, and expenses (inclusive of attorney’s fees) on account of personal injury, death, or damage to or loss of property or profits arising out of or contributed to by any act, omission, negligence, fault, or violation of a law or ordinance by the Exhibitor or its employees, agents, contractors, patrons, and invitees. Exhibitor hereby waives each and every claim that arises or may arise in its favor against any one or more of the indemnities for any and all losses of damage covered by valid and collectible insurance. Such waiver precludes the assignment of any claim by subrogation or otherwise.

 

10. Cancellation of Event

In the event the RDC Conference is canceled because of a reason beyond the control of RDC all sponsorship fees will be returned to the Sponsor.

 

11. Amendment to Terms and Conditions

Any and all matters or questions not specifically covered by the terms and conditions contained herein shall be subject to the sole discretion of RDC. RDC may, in its sole discretion, make reasonable changes, amendments, or additions to these terms and conditions. Any such changes shall be binding on Sponsor equally with the other terms and conditions contained herein.

 

12.  General Restrictions

The Association reserves the right to restrict exhibits that because of noise, methods of operation, or that for any reason become objectionable and also to prohibit or evict without refund any exhibit or person that in the opinion of the Association may detract from the general character of the event and/or RDC.
